How to organise and event

When organising any event you need to:

  • Acknowledge Deafness Forum as the national coordinating body of Hearing Awareness Week

    In other words underneath the Deafness Forum logo it should be stated:
    "Deafness Forum is the national coordinating body of Hearing Awareness Week"
  • Gather a suitable group of people together to co-ordinate the event.
  • Identify a suitable public location for the event.
  • Arrange to use that location.
  • Ascertain insurance requirements and ensure they are met.
  • Advertise and promote the event as widely as possible.
  • Print off the small poster (in colour if possible) use in your public displays.
  • Don't forget to use all possible avenues for creating awareness. Every bit helps.

Event Ideas

A Community Hearing Screening Event
  • Arrange suitably qualified persons to undertake the hearing screenings.
  • Have the necessary hearing screening equipment.
  • Organise the other necessary facilities for the event, such as public address and assistive listening systems, tables and chairs, display boards, power and lighting, banners, pens or pencils, name badges for all event staff.
  • Print an adequate supply of Community Hearing Screening Reports (see below).
  • Ensure all event staff are fully aware of their responsibilities, including the completion of a Community Hearing Screening report for each person screened.
  • Advertise and promote the event as widely as possible.
  • Develop plans for handling any excess demand for screenings during the event.

A Public Seminar on a theme that suits your community
  • Identify suitable people to conduct the event - facilitator, speakers, workshop leaders, etc.
  • Arrange the necessary facilities for the event, such as lecterns, public address and assistive listening systems, visual display systems, tables and chairs, power and lighting, banners, name badges for all event staff.
  • Ensure all event staff are fully aware of their responsibilities.
  • Advertise and promote the event as widely as possible.
  • Develop plans for following up any matters that arise during the event.


Media Releases
  • Send out media releases to local newspapers, radio stations and TV Stations.

A Public Information Display in a shopping Centre/Library/Public Venue
  • Arrange suitable people to staff the display.
  • Identify or develop the information to be displayed.
  • Arrange the necessary facilities for the event, such as tables and chairs, display boards, power and lighting, banners, pens or pencils, name badges for all event staff.
  • Obtain an adequate supply of the information to be displayed, given out or sold.
  • Ensure all event staff are fully aware of their responsibilities.
  • Advertise and promote the event as widely as possible.
  • Develop plans for handling any queries that can not be dealt with immediately at the event.

     

An Open Door Event (Possibly with some high profile people in Attendance to Attract Media Coverage)
  • Identify suitable people to conduct the event - tour guides, etc.
  • Arrange any necessary facilities for the event, such as public address and assistive listening systems, visual display systems, tables and chairs, banners, "show bags", name badges for all event staff.
  • Identify high profile people who might usefully participate in the event and arrange for their participation.
  • Develop and issue media releases to appropriate journalists and media.
  • Advertise and promote the event as widely as possible.
  • Ensure all event staff, including high profile people, are fully aware of their responsibilities.
  • Develop plans for following up any matters that arise during the event.
